Cette journ\u00e9e a \u00e9t\u00e9 cr\u00e9\u00e9e pour faire r\u00e9fl\u00e9chir les entreprises \u00e0 l\u2019important trafic quotidien de courriels (internes) et \u00e0 la fa\u00e7on de le contr\u00f4ler. C\u2019est imp\u00e9ratif, car une utilisation inappropri\u00e9e des courriels peut entra\u00eener un manque \u00e0 gagner allant jusqu\u2019\u00e0 3.000 \u20ac par an par travailleur. D\u2019apr\u00e8s le fournisseur de services RH SD Worx, il existe plusieurs alternatives faciles qui permettent de limiter l\u2019afflux de courriels, par le biais notamment de cette fameuse transformation digitale.<!--more--><\/p>\n<p>Une bo\u00eete de r\u00e9ception surcharg\u00e9e fait en effet perdre beaucoup de temps et de productivit\u00e9. Au niveau des RH, des solutions num\u00e9riques de plus en plus abondantes, souvent bas\u00e9es sur des applications cloud, offrent cependant de nombreuses possibilit\u00e9s de r\u00e9duire la quantit\u00e9 de courriels.<\/p>\n<p>Cathy Geerts, HR Director de SD Worx, commente : <em>\u00ab Le trafic de courriels constitue certes un \u00e9l\u00e9ment important de la nouvelle fa\u00e7on \u201cnum\u00e9rique\u201d de travailler. Mais souvent, les entreprises n\u2019ont pas suffisamment conscience que les courriels peuvent \u00eatre nuisibles et que leur afflux massif surcharge les travailleurs. Un d\u00e9partement RH bien num\u00e9ris\u00e9 peut d\u00e9j\u00e0 jouer un r\u00f4le important \u00e0 cet \u00e9gard. Nous constatons par exemple que l\u2019enregistrement des pr\u00e9sences et des absences, ou un simple changement d\u2019adresse ou de num\u00e9ro de compte en banque, s\u2019effectuent encore souvent manuellement ou par courriel dans les entreprises \u2013 alors qu\u2019il existe des syst\u00e8mes automatis\u00e9s parfaitement adapt\u00e9s. Des applications num\u00e9riques ou la cr\u00e9ation de solutions dans le cloud peuvent \u00e9galement constituer des alternatives valables aux courriels pour l\u2019introduction de demandes de remboursement de frais, le suivi des flux de travail ou encore le reporting. Et bien s\u00fbr, n\u2019oublions pas que le contact direct avec les coll\u00e8gues, face \u00e0 face ou par t\u00e9l\u00e9phone, demeure souvent le moyen le plus rapide et le plus efficace de s\u2019organiser. \u00bb<\/em><\/p>\n<p><strong><em>Teamwork !\u00a0<\/em><\/strong><\/p>\n<p>Les autorit\u00e9s reconnaissent la n\u00e9cessit\u00e9 croissante d\u2019une \u00ab d\u00e9connexion num\u00e9rique \u00bb et demandent que les employeurs se penchent \u00e9galement sur la question. Bien que le droit \u00e0 la d\u00e9connexion soit difficile \u00e0 ent\u00e9riner par des r\u00e8gles strictes, il est dans l\u2019int\u00e9r\u00eat de toutes les parties prenantes de conclure des accords sur mesure pour chaque organisation au niveau des \u00e9quipes. <em>\u00abNous encourageons d\u00e8s lors les \u00e9quipes \u00e0 r\u00e9fl\u00e9chir ensemble au sujet et \u00e0 \u00e9tablir des accords internes qui r\u00e9pondent aux besoins individuels et aux n\u00e9cessit\u00e9s op\u00e9rationnelles de chaque \u00e9quipe, ainsi qu\u2019aux besoins des clients. Mettez-vous d\u2019accord avec votre \u00e9quipe et vos coll\u00e8gues pour prendre de bonnes habitudes en ce qui concerne les courriels, attirez le cas \u00e9ch\u00e9ant l\u2019attention sur leur utilisation excessive ou inutile et pr\u00e9cisez le degr\u00e9 d\u2019accessibilit\u00e9 auquel vous vous attendez\u00bb.<\/em><\/p>\n<p><strong><em>Quelques rappels utiles !\u00a0<\/em><\/strong><br \/>\n\uf0b7 Si vous avez une question urgente, plut\u00f4t que d\u2019envoyer un courriel, ayez recours \u00e0 des moyens de communication plus directs tels que le t\u00e9l\u00e9phone ou la messagerie instantan\u00e9e (interne) \u2013 ou alors, faites un tour dans le bureau de votre coll\u00e8gue.<br \/>\n\uf0b7 Utilisez uniquement les courriels pour partager des informations importantes et d\u00e9taill\u00e9es (en pi\u00e8ce jointe ou non).<br \/>\n\uf0b7 Envoyez des courriels pour fournir en temps utile des informations coh\u00e9rentes \u00e0 un groupe de destinataires ou pour leur donner une br\u00e8ve mise \u00e0 jour de statut.<br \/>\n\uf0b7 Lorsque vous envoyez un courriel, assurez-vous que l\u2019objet du message est suffisamment pr\u00e9cis et concis. \u00c9vitez donc les objets vagues tels que \u00ab article \u00bb ou \u00ab important \u00bb.<br \/>\n\uf0b7 Ne cliquez pas syst\u00e9matiquement sur \u00ab r\u00e9pondre \u00e0 tous \u00bb. Si vous recevez un courriel avec diff\u00e9rents destinataires en copie, demandez-vous d\u2019abord si votre r\u00e9ponse int\u00e9ressera tout le monde. Si possible, essayez de ne r\u00e9pondre qu\u2019\u00e0 la personne concern\u00e9e, afin de ne pas \u00ab polluer \u00bb la bo\u00eete de r\u00e9ception des autres.<br \/>\n\uf0b7 \u00c9vitez d\u2019utiliser les courriels pour donner des informations ou des instructions complexes, d\u00e9taill\u00e9es ou longues.<br \/>\n\uf0b7 Mieux vaut \u00e9galement ne pas envoyer par courriel de mauvaises nouvelles, des nouvelles n\u00e9gatives ou des nouvelles qui exigent beaucoup de doigt\u00e9 (\u00e9motionnel).<br \/>\n\uf0b7 Ne vous contentez pas de transf\u00e9rer des conversations par courriel \u00e0 des tiers sans r\u00e9sumer ce qui a \u00e9t\u00e9 discut\u00e9. Le destinataire du courriel transf\u00e9r\u00e9 y gagnera beaucoup de temps !<br \/>\n\uf0b7 Si vous n\u2019obtenez pas de r\u00e9ponse \u00e0 un ou plusieurs courriels pr\u00e9c\u00e9dents, n\u2019envoyez pas rappel sur rappel par le m\u00eame canal.<br \/>\n\uf0b7 N\u2019envoyez pas de courriels avec des questions ou des informations sur des sujets divers et vari\u00e9s.
